🩺 Why this matters
The Things to Do block is the heart of Careteam. It guides everyone—clients, families, and health providers—on what needs to happen next. Whether you're scheduling an appointment, adding a task, or assigning a form, this block helps you create shared visibility and shared responsibility.

Use it to:

  • Keep track of upcoming, overdue, and completed activities

  • Share clear instructions with the entire care team

  • Make coordination easy across organizations, roles, and settings

  • Empower clients and families to contribute and stay organized


🔍 Where to find it

  • Open the Person’s Action Plan

  • Scroll to the Things to Do block on the dashboard

  • Activities are ordered by due date, with overdue items clearly flagged

  • Use the Completed tab to view what’s already been done


🚀 What you can do in this section

Add new activities
Click the + Add button to choose from:

  • Appointment – Add in-person or virtual visits (includes reminders!)

  • Check-in – Schedule recurring or one-time updates to monitor well-being

  • Form – Assign standardized forms like PHQ-9, GAD-7, or program-specific intakes

  • Task – Share to-dos with detailed instructions and linked resources

🛑 Note: Referrals now have their own dedicated block in the Action Plan. Learn more in the Services and Referrals guide (add link to that KB article).

✏️ Assign and schedule

  • Choose who the activity is for: client/family or team member

  • Set a due date or mark it as anytime

  • Add linked resources to provide instructions or context

  • Assign activities across teams—even in different organizations

👥 Track and manage activities

  • View what’s upcoming, overdue, or done

  • Click the three-dot menu on any item to edit or delete

  • Mark activities as complete—either by the client/family or on their behalf

🧾 Use templates to save time

  • Frequently assign the same task? Add it to your Admin Library

  • Templates auto-fill fields and save time across programs

📱 Clients and families can contribute too

  • They can add their own appointments or tasks

  • Great for sharing updates like personal appointments, medication reminders, or family coordination


💡 Tips and things to know

  • Activities with a scheduled time trigger automatic reminders—1 day and 1 hour before

  • You can link educational resources directly to tasks

  • The block ensures everyone sees the same action plan, even across organizations

  • Clients and families can’t assign tasks to others—but they can add their own items

  • For referrals, head to the Services and Referrals block instead
